01 · Real-world safety

Safety Guidelines

SportsPal helps adults discover and coordinate activities; it does not supervise users or make offline meetings risk-free. Sports, travel, outdoor routes, unfamiliar people, venues, weather, equipment, and physical exertion all involve risk. No safety feature replaces your judgment.

Before an activity

• Check the activity and host. Confirm the sport, date, local time, exact meeting point, expected duration, intensity, skill level, participant limits, equipment, accessibility, costs, cancellation plan, and who will be present.
• Meet carefully. For a first activity, prefer a lawful, public, staffed or well-lit venue. Tell a trusted person where you are going and when you expect to return. Arrange your own transport and a way to leave.
• Protect personal information. Do not share your home address, workplace routine, financial credentials, identity documents, passwords, authentication codes, medical records, or unnecessary precise-location information.
• Assess yourself honestly. Choose an activity appropriate for your health, experience and ability. Seek medical or professional advice when needed. Do not participate if illness, injury, intoxication, medication, fatigue or conditions make it unsafe.
• Prepare for the conditions. Check official weather, warnings, closures, daylight, terrain, traffic, water conditions and venue rules. Bring suitable footwear, protective equipment, water, medication, lighting and communication tools.

During an activity

• Follow the law, accepted rules of the sport, venue requirements, traffic rules, official warnings and reasonable safety instructions.
• Consent and boundaries apply on and off the field. No one may pressure you into physical contact, a higher intensity, a private location, transport, drinking, payment or continued participation.
• Stop and seek appropriate help if you are injured, unwell, lost, threatened or unsafe. You can leave at any time and do not owe anyone an explanation.
• Keep valuables secure, do not leave drinks or essential equipment unattended, and do not accept unknown substances or unverified supplements.

Routes, Live GPS and outdoor activities

• User-created routes, GPX files, elevation figures, forecasts, gear suggestions, directions and map data can be incomplete, outdated or wrong. Never rely on SportsPal as your only navigation, weather, rescue or emergency tool.
• Review the full route before starting. Carry an independent navigation method, charged device or battery, appropriate clothing, water, lighting, first-aid and emergency supplies for the conditions.
• Respect closures, private property, protected land, military or restricted areas, wildlife, trail etiquette and local communities. Turn back when conditions are unsafe.
• A route may reveal a home, workplace or routine. Review start/end points and the audience before sharing. Never use another person’s route, QR code, activity, roster or location data to track or approach them without permission.

Profiles and screening

SportsPal may offer limited signals such as email confirmation, profile information, shared connections or a SportsPal Pass. These are not identity, qualification, criminal-record or safety guarantees. Unless expressly stated for a specific feature, SportsPal does not conduct criminal background checks, sex-offender checks, medical checks, coaching verification or venue inspection.

After an incident

Get to safety, seek medical or official help where appropriate, preserve relevant messages, usernames, dates, links and screenshots, and report through the closest in-app reporting control. Do not confront, threaten, publicly accuse, dox or organize mass reports against another person.

02 · Hosting & leadership

Host, Club & Tournament Organizer Standard

Creating or administering an activity, club, route, team, roster or tournament gives you control—and responsibility. Organizers remain responsible for the decisions and services they provide. Listing something on SportsPal does not make SportsPal its organizer, insurer, governing body, coach, safeguarding authority or guarantor.

Information must be complete and honest

• Publish the correct sport, date, local time, meeting point, venue, expected duration, format, intensity or skill level, capacity, accessibility information, organizer contact and weather or cancellation plan.
• Disclose all required costs, deposits, venue charges, equipment, memberships, eligibility rules, waivers and refund terms before someone joins, registers, travels or pays.
• Identify foreseeable material hazards such as traffic, difficult terrain, water, altitude, contact play, heat, cold, poor lighting, remote areas or specialist equipment.
• Never create fake, duplicate, impossible or bait-and-switch activities, inflate attendance, fabricate participants or falsely imply popularity.

Operate lawfully and safely

• Use venues and routes lawfully. Obtain any booking, landowner consent, permit, license, governing-body approval, insurance, qualified supervision, first-aid or emergency provision required by law or the activity.
• Use appropriately qualified and legally authorized people for coaching, medical support, officiating, transport, safeguarding, guiding or another regulated or safety-critical role.
• Be present and reasonably reachable, or clearly identify another responsible adult as the on-site host.
• Monitor relevant official warnings and make a proportionate go, modify, postpone or cancel decision. Do not pressure participants to continue in unsafe conditions.
• Do not describe an activity as “official,” “verified,” “certified,” “insured,” “approved” or “safe by SportsPal” unless SportsPal expressly authorized that exact claim in writing.

Clubs, teams and tournaments

• Have genuine authority to represent the club, team, venue, league, badge, logo or governing body.
• Publish clear membership, division, eligibility, selection, scoring, tie-break, disciplinary, cancellation, prize and refund rules, then apply them consistently and in good faith.
• Obtain permission before adding someone to a roster or publishing their name, image, statistics, eligibility details, contact information or other personal data.
• Use participant and roster information only for legitimate administration of the relevant activity, club or tournament. Do not export it for unrelated marketing, recruiting, profiling or sale.
• Do not seize, repurpose, sell or materially change an established club or community in a way that deceives its members.
• Do not manipulate results, registrations, rankings, attendance, reviews or administrator powers, and never retaliate against good-faith criticism or a safety report.

Adults only

SportsPal is strictly 18+. Organizers must not use SportsPal to invite, register, roster or display under-18 participants, even with parent or guardian permission. A mixed-age or youth event may exist independently, but minors must not be onboarded, represented or managed through SportsPal.

03 · Reliability

Attendance & Cancellation Policy

Joining or hosting creates a reasonable expectation that others may reserve a place, travel, pay a venue or change their plans. Treat that commitment seriously, without punishing genuine emergencies.

Participants

• Join only when you genuinely intend and are reasonably able to attend.
• If plans change, leave the activity or notify the host as early as reasonably possible. Do not hold a scarce place you do not intend to use.
• If you expect to be materially late, tell the host. A displayed “joined” or “going” status does not guarantee admission, venue access or a reserved place unless the organizer clearly confirms it.
• Repeated no-shows, abusive last-minute cancellations or deliberate capacity manipulation may lead to a warning or proportionate limits on joining features. SportsPal does not promise a fixed strike formula and considers context.

Hosts and organizers

• Communicate delays, material changes, venue problems and cancellations through the activity details or participant chat as soon as reasonably possible.
• Cancel when conditions, permissions, staffing, venue access or participant safety make the activity unsuitable. Safety takes priority over preserving attendance metrics.
• Repeated misleading, avoidable or unexplained cancellations may lead to limits on hosting or organizer features.

Fees and refunds between users

SportsPal does not currently process activity fees. If an independent organizer requests a venue or participation payment, the organizer must disclose the amount, recipient, payment method, cancellation deadline and refund policy before commitment. Unless SportsPal is expressly identified as the seller at checkout, payment and refund disputes are between the payer and that organizer or venue. Fraud, hidden fees and deceptive payment requests can still be reported to SportsPal.

04 · Notice, action & redress

Reports, Blocking, Appeals & Illegal Content

Use reporting for genuine safety, legal or policy concerns—not ordinary disappointment, rejected invitations, competitive disagreements or retaliation. If you simply do not want contact, use the available block, mute, leave or remove controls.

How to report

1. Use the closest in-app report control on the relevant profile, activity, post, route, club, tournament or conversation whenever it is available.
2. Choose the most accurate reason and include the username, content or activity, date, approximate time, what happened, and the exact link or screen where possible.
3. Add useful evidence such as screenshots or messages, but share only what is necessary. Never send passwords, authentication codes, full card details, government IDs or unrelated sensitive records.
4. Block or leave if needed. A block can limit future interaction, but cannot erase content already seen, copied, downloaded or shared.

Illegal Content Notice for the European Union

Anyone may notify SportsPal of specific information they believe is illegal. To help us locate and assess it, use the subject “Illegal Content Notice” and include:

• a sufficiently clear explanation of why the information is alleged to be illegal, including the relevant country or legal basis if known;
• the exact electronic location, such as the profile, activity, message, post, club, tournament, route, username, URL, screenshot or other identifier needed to locate it;
• your name and email address, except where applicable law permits a notice concerning suspected sexual abuse or exploitation of minors without that information; and
• a statement confirming that you believe in good faith that the information and allegations are accurate and complete.

SportsPal may ask for clarification if the notice is too vague to identify or assess the material. Notices submitted in good faith are reviewed without treating the allegation itself as proof.

What SportsPal may do

SportsPal may review the report, relevant content and context, account or technical signals, prior actions and information lawfully supplied by affected people or authorities. Depending on the evidence, rules and law, SportsPal may take no action; request more information; warn; remove or limit content; restrict features; remove an organizer role; suspend or terminate an account; preserve evidence; or refer a matter to the competent authority.

We do not promise to pre-screen every item, monitor every activity or read every conversation. We do not disclose confidential enforcement or account information merely because someone filed a report. A report does not guarantee a particular outcome.

Appealing a SportsPal decision

If SportsPal restricts your content, feature or account and you believe the decision was wrong, reply to the enforcement notice when possible or email from the address associated with your account using the subject “Appeal.” Include the decision, affected content or account, why you believe it was incorrect, and any new context or evidence.

Submit promptly. If applicable law or the notice provides a specific period, that period applies; for decisions eligible for the EU Digital Services Act internal complaint process, the available period may be up to six months. SportsPal may confirm, modify or reverse a decision. A different reviewer may assess the appeal where reasonably practicable. Manifestly unfounded, repetitive, abusive or fraudulent reports and appeals may be restricted after warning where appropriate.

05 · Published child-safety standards

Child Safety Standards

SportsPal is strictly for adults aged 18 or older. Parent or guardian permission does not make an under-18 person eligible. Users and organizers must not create an account for a minor or use SportsPal to invite, register, roster, display or manage under-18 participants.

Zero tolerance for child sexual abuse and exploitation

SportsPal prohibits child sexual abuse and exploitation (CSAE), child sexual abuse material (CSAM), grooming, sexualization of minors, sextortion, trafficking, solicitation, attempts to obtain sexual material from a minor, and content or conduct that facilitates or normalizes such abuse. This includes real, illustrated, synthetic, AI-generated, altered or “joking” material that depicts or appears to depict a minor sexually.

• Do not upload a child’s image as a profile photo or post identifiable images, location, school, contact details or other personal information about a minor.
• Do not attempt to evade age controls, encourage a minor to misstate their age, or move contact off-platform.
• Do not download, save, forward, screenshot, resend or publicly expose suspected CSAM in order to report it. Report the account or exact content location without redistributing the material.

How SportsPal responds

SportsPal may immediately remove or restrict relevant content or accounts, preserve available evidence, prevent account recreation, and report confirmed or suspected child sexual abuse material or exploitation to the competent authority or designated clearinghouse—such as the National Center for Missing & Exploited Children where U.S. reporting law applies, and appropriate national or regional authorities elsewhere—as required or permitted by law.

SportsPal complies with applicable child-safety laws and reviews its processes as the Service and legal requirements evolve.

Report a child-safety concern

Use the in-app report control and select the closest child-safety or sexual-content reason. If that is unavailable, contact the dedicated child-safety point of contact below with the subject “Child Safety Report.” Include the username, content location, date and a concise description. Do not attach or redistribute suspected illegal imagery.

06 · Rights & ownership

Intellectual Property & Image-Rights Policy

Post only content you created or have the legal right and permission to use. This includes profile images, activity photos, logos, club badges, tournament materials, routes, maps, text, audio, video, music and screenshots. Giving credit does not replace permission.

Not allowed

• Using another person’s photo, identity, name or likeness deceptively or without appropriate permission.
• Copying or reposting copyrighted content, private messages, logos, badges, broadcasts, music, route files or commercial materials without rights.
• Using a trademark, club, team, venue, federation or public-body identity in a way that falsely implies verification, sponsorship, affiliation or official status.
• Removing watermarks, attribution, ownership notices or material context in a deceptive way.
• Photographing, recording or publishing identifiable people from an activity without appropriate notice and consent where required.

Rights-infringement notice

A rights holder or authorized representative may email sportspalapplication@gmail.com with the subject “Intellectual Property Notice” and provide:

• their name, contact information and authority to act;
• a clear description of the protected work, trademark, image or other right;
• the exact SportsPal content or account to be reviewed, including links, usernames and screenshots where available;
• an explanation of why the use is unauthorized or unlawful;
• a good-faith statement that the information is accurate; and
• a physical or electronic signature.

Response and counter-notice

SportsPal may request more information, remove or restrict content, contact the uploader, preserve the material, or take no action if the notice is incomplete or does not establish a plausible violation. The affected user may submit a counter-notice identifying the removed material, explaining why removal was a mistake or why use is authorized, providing contact details, and signing the request.

SportsPal may restore content where appropriate, but does not adjudicate complex ownership disputes. Repeat or serious infringement may result in account restrictions or termination. False, abusive or fraudulent notices may themselves violate SportsPal’s rules and applicable law.

Privacy and non-IP image complaints

If you own the copyright but the issue is also that an identifiable image, recording or private information about you was shared without consent, say so clearly. SportsPal may assess privacy, harassment, safety and image-rights rules separately from copyright ownership.

07 · Account control

Account & Data Deletion

You can request permanent deletion from the available in-app account-deletion control or through this public web process. Uninstalling SportsPal, logging out, deleting a Wallet pass or disconnecting Apple, Google or Facebook sign-in does not delete your SportsPal account.

Delete in the app

1. Open SportsPal and sign in to the account you want deleted.
2. Open the available account settings and choose the account-deletion control.
3. Review the consequences and complete the confirmation shown in the app.

Request deletion from the web

1. Email SportsPal from the address associated with your account where possible.
2. Use the subject “Delete My SportsPal Account” and include your SportsPal username or profile identifier.
3. Do not send your password, authentication code, government ID, payment details or unrelated sensitive information. SportsPal may ask for proportionate verification if needed to protect the account.

What happens next

• Your profile is removed from ordinary use and deletion or anonymization of associated personal information begins.
• Content shared with others may remain in deleted-user or de-identified form where reasonably needed to preserve conversations, activity records, clubs, tournaments, rosters, safety evidence, legal compliance or the rights of other users.
• If you administer an activity, club or tournament, reasonable steps may be needed to transfer administration, cancel an event or avoid disrupting participants.
• Limited safety, fraud-prevention, legal, rights-management and backup records may be retained where necessary and lawful. The retention criteria are explained in the Privacy Policy.

SportsPal responds within the period required by applicable law. A request may be limited where identity cannot be verified, another person’s rights would be harmed, or retention is legally required.

08 · Transparency

Recommendations & Automated Systems

SportsPal uses software rules and automated processing to operate the Service. We avoid vague claims that “AI decides everything.” Current or feature-dependent uses may include sorting and recommending activities, people, clubs, tournaments, venues, gear or routes, as well as detecting technical abuse, suspicious access, spam or possible policy violations.

Recommendation signals

SportsPal may use signals such as selected sport, area, distance, date and time, availability, interests, participation, social connections, popularity, recency, content quality, device settings and safety or integrity signals. Distance or relevance is not a guarantee of suitability, availability, safety or endorsement.

Moderation and platform integrity

Automated rules, rate limits, filters and signals may flag content or behavior for restriction or review. These systems can produce false positives and false negatives. SportsPal may use human review when a report, appeal, safety issue or legal request requires context, but does not promise that every item or low-risk action receives manual review.

Decisions and review

SportsPal does not use private messages, precise location or route history to decide eligibility for employment, credit, insurance, housing, education or a comparable legal decision. SportsPal does not make solely automated decisions producing legal or similarly significant effects about users within the meaning of applicable data-protection law. Where an enforcement action is eligible for review, use the appeal process above.

09 · Service inventory

Technology, SDKs & Third-Party Services

This notice is a readable inventory of important technologies used by SportsPal. It does not replace the Privacy Policy, which explains data categories, purposes, legal bases, disclosures, retention and rights. Exact use can vary by device, operating system and selected feature.

Your controls

Location, notifications, photos, camera, microphone and calendar access can be managed through available in-app controls and device settings. Disabling a permission may disable the related feature. A device permission is a technical control and is not automatically the same as legal consent.

10 · Responsible disclosure

Security & Vulnerability Disclosure

SportsPal welcomes clear, good-faith reports that help protect users and the Service. This policy is not permission to access another person’s data, disrupt the Service or break applicable law.

In scope

• SportsPal mobile applications, website, APIs, backend rules and infrastructure controlled by SportsPal.
• Authentication or authorization bypass, unauthorized data access, privilege escalation, injection, material privacy exposure and serious server-side or app logic flaws.

Research rules

• Use your own test account and the minimum interaction necessary to demonstrate the issue.
• Stop immediately if you encounter another person’s private data. Do not copy, retain, alter or disclose it.
• Do not use social engineering, phishing, credential stuffing, physical attacks, malware, denial of service, traffic flooding, destructive testing or third-party systems without authorization.
• Do not extort, threaten or condition disclosure on payment. SportsPal does not currently operate a public bug-bounty program and does not promise a reward.
• Keep the issue confidential and allow reasonable time to investigate and remediate before any public disclosure.

Good-faith assurance

When research is lawful, follows this policy, avoids user harm and is reported promptly, SportsPal does not intend to initiate legal action solely because of that good-faith research. This is not a waiver of rights regarding unlawful access, privacy violations, extortion, data misuse, disruption or activity outside this policy.

How to report

Email with the subject “Security Report”. Include a concise description, affected feature or URL, reproducible steps, impact, test account used, device/app version and supporting screenshots or proof-of-concept that does not expose user data. Do not send active malware or unnecessary secrets.

SportsPal may acknowledge, request clarification, prioritize, fix, mitigate or close the report based on severity and reproducibility. We do not promise a fixed response or remediation deadline.

11 · Government requests

Law-Enforcement & Government Request Guidelines

These guidelines are for authorized law-enforcement and government officials seeking information from SportsPal. They do not expand SportsPal’s legal obligations or guarantee that requested data exists, is retained or can be produced.

Standard requests

Requests should come from an official government or law-enforcement email domain, use the subject “Law Enforcement Request,” and include:

• the requesting authority, official name, title, badge or employee number, agency contact details and jurisdiction;
• the applicable legal authority and a complete, signed copy of valid legal process;
• the specific SportsPal account, username, email, profile, activity, club, tournament or other identifier;
• the precise categories of information requested and relevant date range; and
• any confidentiality, non-disclosure, return date or user-notice requirement.

SportsPal may verify authority, require formal service through an appropriate channel, reject or seek to narrow invalid, overbroad, disproportionate or technically impossible requests, and require translation into English or Greek where reasonably necessary.

Emergency disclosure requests

For a genuine emergency involving an imminent danger of death or serious physical harm, use the subject “Emergency Law Enforcement Request” and explain the nature of the emergency, whose safety is at risk, why the danger is imminent, the specific information sought, why SportsPal is believed to hold it, and the legal basis for emergency disclosure. SportsPal may verify the official and disclose only information it reasonably believes necessary and legally permitted.

Preservation and user notice

A preservation request should identify the exact account and data sought, be limited to information already in SportsPal’s possession, state the legal authority and anticipated formal process, and specify the requested period. SportsPal may preserve available information when legally valid and technically feasible; a request does not require SportsPal to create new data.

SportsPal may notify the affected user before disclosure unless prohibited by law or court order, unsafe, impractical in an emergency, or likely to compromise a legitimate investigation. SportsPal may later notify the user when a prohibition expires where lawful.

12 · Inclusive access

Accessibility Statement

SportsPal wants the mobile apps and website to be usable by as many people as possible, including people who use assistive technologies. We use WCAG 2.2 AA principles and platform accessibility guidance as design targets where applicable, but do not claim that every screen or feature has been independently audited or fully conforms.

What we work toward

• Meaningful labels and logical focus order for screen readers such as VoiceOver and TalkBack.
• Readable contrast, scalable text, reduced-motion support, clear states and touch targets appropriate for mobile use.
• Keyboard-accessible website navigation, visible focus indicators, semantic headings and alternatives for non-text information where practical.
• Instructions that do not rely only on color, sound, motion or precise gestures.

Known challenges

Complex maps, route drawing, live location, third-party map controls, image-heavy content, user-generated media, Wallet experiences and some dynamic club or tournament interfaces may have limitations. Third-party services opened from SportsPal have their own accessibility practices.

Request help or report a barrier

Email with the subject “Accessibility” and include the affected screen or page, device and operating system, app version, assistive technology, what you expected, what occurred, and any suggested alternative. Do not include unnecessary medical information.

13 · Current service status

Payments, Refunds, Subscriptions & Advertising

This section records the current status of SportsPal. It does not activate a future product or silently create payment terms.

Organizer and venue costs

Independent organizers, venues, coaches or clubs may require lawful fees outside SportsPal. They must disclose all mandatory charges and refund conditions before commitment. Unless SportsPal is expressly identified as the seller at checkout, SportsPal does not collect, hold, guarantee or refund those payments. Verify the recipient before paying and report fraud or hidden fees.

If SportsPal later introduces paid features

Price, billing period, renewal, trial, cancellation, refund, tax and platform-specific terms will be clearly shown before purchase and will follow applicable law and App Store or Google Play requirements. SportsPal will update the relevant policy and store disclosures before launch. No text in the older in-app document bundle should be treated as an active subscription offer.

Promotion and branded content

SportsPal does not currently operate a general advertising marketplace. Relevant, lawful promotion by a genuine host, coach, club or venue may be permitted when directly connected to a real activity, proportionate and clearly commercial. Hidden sponsorship, undisclosed affiliate relationships, unsolicited promotional messages, data harvesting and deceptive claims are prohibited. If SportsPal introduces sponsored placements, they will be clearly labeled and governed by updated terms and privacy disclosures.

Changes to this center

SportsPal may update this center as the Service, risks, providers or law changes. The latest version will show a revised date. Material changes affecting user rights or obligations will receive additional notice where required. This page is written in English; mandatory rights and protections apply regardless of translation.
